Opening Procedures

  1. After entering building, by the front entrance door, security code must be entered to disarm building alarm within 45 seconds. The box is located to the right of main entrance door, beside bulletin board, foyer area.
  2. Turn on foyer light. Switch is located under the bulletin board in foyer. Turn lights on in public restrooms. Switches are located on left side of door inside women’s restroom and right side in men’s restroom. Unlock second entrance door with key.
  3. Turn on light switches, for the building, located on the wall at the entrance of the circulation area. Turn on light switch to break-room/office area located on the left, behind microwave oven.
  4. Turn on office computer by pressing MASTER key on Interex drive, located under the 970Cxi printer. Switch on office monitor. Enter username: lubranch and password: xxxxx.
  5. Turn on light in supply room, located left of the supply room door, above first shelf.
  6. Turn on child and PAC computers, both located to the right of the break-room/office area. Child computer username: child. PAC, must enter xxxxx then ctrl/alt/delete, then enter username: pac and the password is: xxxxx.
  7. Print out DAILY DEPOSIT report, from the previous day. Go to START> PROGRAMS, click on LS REPORTS. Gray screen will appear, click on FILE>OPEN>DETAILED FINE TRANSACTIONS RPT. Next screen USER ID (name), PASSWORD (personal work password)>OK. Next window, click on LUCASVILLE. Next window, STARTING DATE AND TIME will be the previous day, time is set at 08:00:00am. Next window, STOP DATE AND TIME, will be present date, and time is set at 08:00:00am. Next window, click on PAYMENT/DATE/TIME, then OK. Document on screen, go to FILE>PRINT, then X when completed.
  8. Count out money from orange COPY MONEY box, at front desk. Go to either circ computer to enter amount. Click on CIRC and bring up circ window. In PATRON TRANSACTIONS/F4 box, type in MONEY. Enter copy money total in CHARGES as CP and print receipt. Complete morning bank deposit from LS RPT, identifying FINES, COPIES, LOST, AGENCY, listing them on bottom of report and initialing after completed. Lucasville uses a purple pen, found in front desk drawer. Deposit amounts are then entered on bank deposit slip and hard copy located in top right desk drawer, office desk.
  9. Enter amounts in Branch Bank Deposits on “L” drive. After opening, if clerk and manager are working, one person takes deposit to 5th Third Bank (drive thru) in Lucasville, located next to Speedway. Pick up mail at Post Office, using key #28, which is for PO box #744. Post Office is located on Robert Lucas Road, near McKinley Funeral Home and Dollar General Store. Deposit and PO are not required on Saturdays.
  10. Turn on GATES Internet computers and monitors (4), located on the west wall of the building. Press CTRL/ALT/DEL, enter user name: ALL.
  11. COPIER>Place gray coin overflow box inside, close and lock door. Check paper drawer fill if needed, paper located in bottom section of copier. Open bottom part of copier, enter copy count number on clipboard sheet located in that section, date and initial. Turn copier on, switch located left side corner, facing exit door. Return copier keys to circ desk drawer.
  12. BOOKDROP> Retrieve books and 2 newspapers from book drop, using key #12 or #21 which are located in master key box, under coat rack. The Cincinnati Enquirer and The Portsmouth Daily Times should be in the book drop daily.
  13. At 9:00am change CLOSED sign to OPEN on right hand side of front door. Unlock front door with allen wrench which should be located at front circ desk in black tray, near telephone.


Book Drop

Emptied twice per day: morning before opening and evening 1 hour before closing.

The Key Box

Located in office/break room area, under coat rack. Keys are numbered and master list is also located in box.

Panic Button

Located under counter section, near circ #1. Used for EXTREME emergencies only. Once the panic button is pressed, the alarm is answered by Tri-State Security. Tri-State Security will contact law enforcement. If the panic button is pressed by mistake, call Tri-State Security (phone # listed on emergency call list and front desk frequent number catalog) to clarify the mistake. May have to give Tri-State Security proper code. Code #’s are located in breaker box room off of office, through the first door, on the right, underneath paper with drawing, and above the Tri-State white box. Panic button is tested on the first day of every month. A call is made to Tri-State Security, they test the button, and return call to verify panic button is working. The code must then be reset by entering the code numbers into the alarm box, located in the entrance foyer.

Emergency Exit Doors

Emergency exit doors are located on the north side of the building, in the children’s area and on the east side of the meeting room.

Heating and Air

Three thermostats control the building heating and air. One is located in the meeting room, left side of entrance door. A second is located in the children’s area, to the left of the emergency exit door. A third is located above the copier. The meeting room thermostat requires a small key to open. The key is located in the money drawer of the front desk, circ area. The other two building thermostats can be adjusted for summer and winter temperatures. Summer should be set at 72, winter at 68.

Miscellaneous for Copier, Fax, Printers

Book Mark 21 Xerox Copy Machine- Dry ink cartridge/toner is included in maintenance contract. Call Xerox. Phone numbers are listed in card catalog, front circ desk, near telephone. Send old cartridge back to Xerox in box provided. Copy cartridge, Xerox must replace. Call Xerox for service & installation. Any problems while dealing with 1-800 number, call the local sales office, 354-7740, Mary Arnzen, Sales Rep.
Xerox Document Work Center 545 Fax-Toner, call Xerox for replacements. Do not have to send anything back to Xerox. HP 4050 Ink Jet printer-Call Becky or James. Old cartridge is to be returned to IT with ALL contents intact, in new cartridge box, after new cartridge is installed.
HP DeskJet 970Cxi color printer-Black and color ink cartridges, put on supply list.
