Opening Procedures

Computers\Printers

Internet (Gates) Computers

  • Turn on the 10 Patron Internet computers by pressing the power button located on the top right side of each computer tower.
  • Turn on the children’s computer (located in front of the window by the DVD’s) by pressing the power button on the top right side of the tower.
  • Once the Gates computers are turned on they can be controlled using the Cassie commander located on the staff circulation computers.
  • From the desk top of a staff computer, locate the Cassie tool bar. (It will be at the bottom of the screen, above the start button.
  • Click on Control, this will bring up the panel that controls the Gates computers.

PAC (Catalog Computer)

The catalog computer is located in the center of the library at the end of the adult fiction section. Turn on the PAC by pressing the power button located on the upper left side of the monitor.

Circulation Computers

  • Turn on both computers at the circulation desk by pressing the power button that is located in the center of the left side of the computer tower.
  • Once powered up, enter the username and password:
    • Username: clerk
    • Password: XXXXXX
  • Turn on the two accompanying receipt printers, located on the right side of each circulation computer, by switching the power button on the front of each printer.

Laser Printer

  • Turn on the laser printer at the end of the circulation desk by flipping the power switch located at the bottom left hand corner.
  • Check the paper tray to ensure that the printer is full of paper.

Office Computer

  • Turn on the computer located in the office on the manager’s desk. Press the power button located on the upper right side of the computer tower.
  • When the computer powers on, select clerk, and type in the password.
  • Turn on the accompanying receipt printer using the switch on the front of the printer.

Doors

Entering the building:

  • When entering the building go directly to the alarm key pad located on the wall directly in front of the door.
  • Enter the four digit code to disengage the alarm.
  • If you incorrectly enter the code press and hold down the number 9 to reset the alarm. This will allow you to enter the correct code.
  • If the alarm happens to sound Tri-State Security will call and ask for the password.

Opening for Patrons:

  • The hex key needed to unlock the door at opening, is located inside the money drawer.
  • Raise the paper blinds on the door and the upper windows beside the door.
  • Insert the hex key into the hole on the handle bar. Turn to the right until the bar is recessed and the door opens without pressing it in.

Lights

Main Lights:

  • Turn on the two light switches located on the wall behind the circ desk, above the emergency manual holder.

Hall Way Lights:

  • Turn on the light switch in the hall way beside bulletin board.

Meeting Room Lights:

  • The meeting room light switch is located underneath the meeting room cabinets on the end closest to the door way.

Heating and Air

Thermostats:

  • There are two thermostats that control the heating and cooling systems. One is located behind the circ desk on the wall where the holds are shelved.
  • The second thermostat is located in the meeting room on the wall, on the right side of the craft closet.

Open/Closed Signs

  • Flip the sign on the main door to OPEN and hang back on the hook.

Copier/Fax

Copier Turn on the copier. Switch is near the bottom on the right hand side. Make sure the copier is full of paper.

Making a copy Raise the lid on the copier. Place the item to be copied print side down, in the corner designated by the red arrow. Close the lid. Insert coins in the coin box, or override with the copier key. (Copies are .10 cents each.) Enter the number of copies desired. Check to make sure copy size is correct. Press the green Start button. Copies are dispensed in the tray beneath the scanner.

Fax The fax machine is located at the circulation desk beside Staff computer 2. The fax machine is always left on. The fax log is located on the shelf directly under the fax machine.

Sending a Fax For each fax note in the fax log the time, the fax number, the number of pages being sent, the location the fax is being sent too, your initials, and the cost of the fax. Place the papers to be faxed in the fax machine face side down. Dial the number. Press the green Start button. (Sending a fax is $2.00 a page in the US. $6.00 a page international. Receiving a fax is $1.00 a page.) Sending faxes to other PPL locations does not need to be entered in the fax log.

Book Drop

The book drop is located outside along the sidewalk entering the building. The book drop should be emptied before opening. The book drop key is found on a key hook behind the circ desk and is labeled. When checking in the morning book drop be sure to back date the “check in date” on circ to the last open day.

Closing Procedures

Computers\Printers

Internet (Gates) Computers

Computers will become inactive 15 minutes before closing. Bring up the control panel at one of the circ computers. Click on and highlight each internet computer and the child’s computer. Click on shutdown.

Laser Printer

Power off the laser printer by flipping the switch located at the bottom left front corner.

PAC Computer

Turn off the PAC by pressing the power button on the upper left hand side of the monitor. Office Computer: Close out all windows. Click on Start. Click on Shut Down. Circulation Computers: Bring up the Cassie control panel on one of the circulation computers. Highlight both staff computers. Click on shutdown.

Copier

Turn off the copying machine. The switch is on the lower right side of the copier. Open the money vending box at the side of the copier with the copier key. The key is located on a hook behind the circ desk and is labeled copier. Insert key, turn to the left, and the handle will pop out. Turn the handle until the door opens in the back. Remove the coin box and empty the coins out at the circ desk. Enter the monetary amount in the money, money account as copies. Place the coin box on top of the copier and leave the vending box open overnight. Return copier key to the appropriate hook.

Receipt Printers

At closing make sure all receipt printers are turned off. Two at the circ desk, and the one on the office desk. Simply flip the switch located on the front of each printer.

Restrooms

Restroom Check

  • 15 minutes before closing take the restroom keys and check each restroom.
  • Ensure that the restrooms are neat, stocked and that the lights are off and no water is left running.

Lights\Thermostats

Lights

  • At closing, make sure all patrons are out the building.
  • Make sure all the lights are turned off, meeting room, break room, office, hall, and the main lights of the library.

Thermostats

  • Make sure both the thermostats are set to the appropriate temperature.
  • For heating: 68
  • For Air conditioning: 72

Doors

  • At closing, make sure the restroom doors, the break room door, and the exit door in the meeting room are closed and locked.
  • Lower the paper blinds on the front windows by the door.
  • Turn the sign over to closed and hang back on the hook.
  • Lock the front door with the hex wrench located in the money drawer. Insert the hex wrench in the hole on the bar, turn left until the bar pops out. Lower the paper blind on the door.
  • Place the key back in the money drawer.
  • Clock out and shut down staff computers.
  • Go to the alarm key pad. Wait for the red light to stop flashing. Enter the four digit code.
  • Exit the building.
  • After exiting the building, push door closed and pull on the handle to make sure the door is fully closed and locked.

Book Drop

  • The book drop should be emptied one hour before closing.
  • Take out the book drop key, and spare book drop ben, or canvas bag.
  • Make sure no books have fallen behind the ben or are trapped in the bottom of the ben.
  • Bring all the items inside and check in as normal.
  • Return book drop key, and ben to the proper places.

Bank Procedures

The deposit needs to be taken to US Bank (across from Deemer’s store) in Wheelersburg. Before leaving the bank verify you have been given a deposit receipt.

Mail The mail should be checked in the morning while running the deposit to the bank. The key is located in the key box in the office. The cluster mail box is located on Green Street. Turn down Irving Street, make a left at the Stop sign. The cluster box will be on the left. The library’s box is #11. Be sure to return the key to key box.

Panic Button

  • The panic button is located inside the money drawer.
  • If you feel threatened press and hold the panic button for a few seconds.
  • Tri-State Security will call the library and authorities will be notified if necessary.
  • If the panic button is accidentally triggered Tri-state will call and will need the password.
  • Make sure you have been given the password by your manager.

Phone\Voicemail

Phone Operation

  • To call within the library system, simply dial the 5 digit extension.
  • To make an outside call, dial 8 and then the number.

Checking Voicemail

  • Voicemail should be checked in the morning before opening.
  • Press the messages button on the phone.
  • Enter the four digit code.
  • When finished, simply hang up the phone.
